Job Summary:

The Group Rooms & Golf Coordinator is responsible for coordinating rooms and golf reservations for groups booked by the Sales department.

Essential Duties & Responsibilities:

  • Coordinate and input all group rooms for each sales group attendee.
  • Create and maintain current and future bookings and contracts for rooms, catering functions, transportation, dining and golf in Delphi for Lone Cypress, and Pebble Beach Special Events.
  • Update and maintain current Sponsor database year to year.
  • Maintain Delphi Event Inventory for Special Events throughout the year.
  • Communicate with meeting planner to coordinate rooming lists, reservation forms and golf.
  • Satisfy client’s special room requests as completely as possible.
  • Cross sell rooms from one property to the other.
  • Maintain files on each assigned group holding all pertinent information.
  • Prepare and send block obligation letter to meeting planner.
  • Distribute copies of pertinent documents to Sales, Conference Services and Group Billing departments.
  • Create master list of all attendees for every group.
  • Coordinate confirmations and individual deposits for reservation forms.
  • Provide daily count of number of assigned rooms from each group to the Associate Director of Sales Administration.
  • Attend pre-conference meetings.
  • Conduct site inspections for clients and potential clients.
  • Work closely with Conference Services, Group Reservations and Group Billing as assigned to bookings.
  • Assist Director of Sales Administration with various analysis reports as requested.

Absolutely Required Skills:

  • Must be service oriented, a self-starter, accurate and able to work with attention to detail.
  • Excellent telephone skills required.
  • Ability to operate typical office equipment necessary.
  • Must be personable and have excellent communication skills (written and verbal).
  • Excellent grammar, punctuation and spelling skills.
  • Polished and professional telephone skills.
  • Project positive attitude and professional demeanor at all time.
  • Must work well under pressure and be capable of prioritizing and completing multiple tasks.
  • Performance and timely completion of routine tasks.
  • Ability to regularly update supervisor regarding projects that are not routine, seeking approval when there are conflicts.
  • Scheduling non-routine and routine tasks for completion.

Desired Skills:

  • Must be able to enter data and knowledge of hotel reservations systems helpful.
  • Minimum 1-year hotel or resort experience preferred.
  • Event Planning experience and skills in development of operational timelines.
  • Minimum two years college level education preferred but not required.
